What we can help with

We answer questions about how to adapt a policy template, where to place document control fields, and how to set up a review schedule. Questions about the structure of a specific policy are welcome. We can point you to the relevant page or explain how the pattern works in practice.

Practical examples of what lands well here: which fields belong in a revision block and which belong in the approval record, how to split a long procedure into sections that survive a review, when a document needs a full reissue rather than an amendment, and how to phrase an owner line so a reader knows who to ask.

What falls outside our scope

We do not give legal advice, review your documents, or interpret regulations that apply to your organization. We also cannot tell you whether a specific policy meets a specific compliance requirement. Those questions belong with a qualified professional who knows your jurisdiction and your obligations.

  • Legal advice If you need someone to tell you what the law requires in your state or country, that is a conversation for your counsel or a qualified advisor.
  • Document review We will not read your draft line by line and sign off on it. We can explain how the templates are put together so your team can do that work itself.
  • Compliance decisions We cannot confirm that a policy satisfies a particular requirement or a particular auditor. Only someone with your obligations in front of them can do that.

How to send a message

Use the contact form on this page and describe what you are working on. A short note about the type of organization and the document you are dealing with helps us give a useful reply. If your question relates to a specific guide, mentioning the page saves a round of clarification.

The form is the front door for questions about policy documentation, document control, and review schedules. Please avoid sending confidential drafts or personal data you would not want stored in an inbox.

Please do not include confidential drafts or personal data. Details of how we handle what you send are set out in the Privacy Policy.

Empty office hall in cold daylight with a paper-flat wall

Our desk in Philadelphia is staffed during business hours, Monday to Friday. The hub is maintained remotely and in person by the same editorial team that answers the form.

What happens after you write

Messages are read by the editorial team that maintains the hub. We aim to reply to substantive questions within a few business days. If your question is already answered on one of the guide pages, we may point you there and add anything specific to your situation.

  1. On arrival

Your note is filed with the guide it concerns, so it reaches whoever wrote that page.

  2. Within a few business days

You get a reply, either with an answer or with a pointer to the page that already covers it, plus anything specific to your document.

  3. If a page changes

Where your question exposes a gap in a guide, the page is revised and the change is recorded in that page's revision note.

  4. If we cannot help

You get a short note saying so, rather than a referral dressed up as an answer.

Skipping the form

If the form does not work for you, the guides themselves are the fastest route. The templates page covers structure, the document control page covers version and approval fields, and the review-cycle page covers maintenance. Most questions are answered on one of those three.

You can also write to us directly if that suits your team better: [email protected] or +1 202-456-3693 during business hours.

Policy & Procedure Templates

How a policy is broken into clauses, and what belongs in each section.

Document Control Guide

Version numbers, approval records, owner lines, and where each field sits.

Review Cycle & Maintenance

Schedules, owners, and the steps that keep a policy from going stale.

Reporting a problem with a page

If you find something on the site that is wrong, unclear, or out of date, tell us. Include the page and the specific passage. Corrections that hold up are applied and noted in the page's revision record, which is the same standard the hub asks of the policies it describes.

What to include

  • The page you were reading and the passage in question
  • What you expected to find there instead
  • Whether the wording is unclear or the guidance is out of date
  • Your email, if you want to hear back when the page changes

Where corrections land

Accepted corrections are folded into the guide they belong to and noted in that page's revision record, so the next reader sees the corrected version.

Questions people ask before writing

A short set of answers to the things visitors ask most often before they send their first message.

Do you answer questions about a policy we have already written?

Yes, as long as the question is about structure, wording, or where a field belongs. We can talk through how the pattern works and where it tends to break. We cannot sign off on your document or confirm that it satisfies an external requirement.

Can you tell me which template fits my organization?

Describe the document you are working on and we will point you at the closest match in the templates library and explain what usually needs adjusting once it is in front of you. The choice itself stays with your team, since only you know how the organization runs.

How quickly should we expect a reply?

We aim to answer substantive questions within a few business days. Notes sent outside Monday to Friday, 9:00 AM – 6:00 PM Eastern Time are read on the next working day. Short questions usually come back faster than long ones.

Can I send a document to be checked?

Please do not. We are not a review service, and sending a draft puts your material somewhere it does not belong. Describe the problem in words instead, and we will help you find the right way to approach it.

Do you cover more than one country's requirements?

The hub is written for U.S. organizations. The document control and review-cycle patterns carry across jurisdictions, but anything tied to a specific regulation has to be checked against the rules that apply to you.
